Custom Order Policy

Thank you for choosing Sofia P. Candle and Art Boutique.

Our Custom Order Policy explains how custom candle orders are processed from consultation to final delivery. Please review these terms before placing your order.

Each custom candle is individually designed and handcrafted according to the customer's specifications. Because every project is unique, custom orders require consultation, planning, production, quality control, and curing time.

By placing a custom order, you acknowledge and agree to the following policy.

Consultation Process

Every custom project begins with an individual consultation.

During this process we discuss:

  • project requirements;
  • candle design;
  • fragrances;
  • colors;
  • personalization;
  • packaging;
  • labels;
  • logos;
  • quantity;
  • delivery preferences;
  • estimated production schedule.

The consultation period allows both parties to carefully plan every detail of the project.

The consultation period is NOT included in the production timeline.

Customers may take as much time as necessary to review options before approving their project.

Order Approval

Production begins only after all of the following requirements have been completed:

  • All order details have been finalized.
  • The customer has approved the project in writing.
  • The required agreement has been accepted (if applicable).
  • A 50% non-refundable deposit has been received.

Customers are responsible for reviewing and approving all information before production begins, including:

  • spelling;
  • names;
  • dates;
  • personalization;
  • logos;
  • artwork;
  • colors;
  • fragrances;
  • quantities;
  • packaging;
  • shipping information.

Deposit

A 50% non-refundable deposit is required to reserve production time.

The deposit secures:

  • production scheduling;
  • materials;
  • design work;
  • project planning.

Production does not begin until the required deposit has been received.

Production Timeline

The minimum production period begins from two (2) weeks after:

  • final approval of the order;
  • receipt of the required deposit.

Two weeks is the minimum estimated production period only.

Actual production time depends on:

  • project complexity;
  • quantity ordered;
  • material availability;
  • production schedule;
  • seasonal demand;
  • curing requirements;
  • customer-requested revisions.

Estimated production dates are not guaranteed.

Customer Response Time

Production schedules depend on timely communication.

If the customer:

  • delays responding;
  • delays approving the project;
  • requests additional revisions;
  • requests new concepts or design changes;
  • postpones decisions;
  • delays providing required information;

the production schedule may be revised accordingly.

Changes to Orders

Customers may request changes before or during production.

Examples include:

  • personalization;
  • fragrances;
  • colors;
  • packaging;
  • labels;
  • logos;
  • quantities;
  • delivery address;
  • delivery method;
  • project specifications.

Requested changes may:

  • increase production time;
  • increase production costs;
  • delay shipping;
  • require additional materials;
  • require additional labor.

Updated estimates will be provided whenever significant changes affect the project.

Candle Curing Process

All candles are handcrafted using professional candle-making standards.

After production, every candle undergoes a curing period of approximately 10–14 days.

Although candles may technically be burned immediately after production, Sofia P. Candle and Art Boutique follows professional manufacturing practices that allow the wax and fragrance to fully stabilize before shipment.

This curing process improves:

  • fragrance performance;
  • wax stability;
  • burn quality;
  • overall candle performance.

The curing period forms part of the overall production schedule.

Final Payment

The remaining balance must be paid no later than three (3) business days before the scheduled shipping date.

Orders will not be released or shipped until payment has been received in full.

Failure to complete the final payment by the required deadline may result in:

  • postponed shipment;
  • revised shipping schedule;
  • revised delivery date.

Sofia P. Candle and Art Boutique reserves the right to delay shipment until full payment has been received and confirmed.

Shipping Schedule

Estimated shipping dates may change during the project.

Production and delivery schedules may be affected by:

  • customer-requested revisions;
  • delayed approvals;
  • delayed communication;
  • payment delays;
  • material availability;
  • production workload;
  • curing requirements;
  • shipping carrier schedules;
  • weather conditions;
  • circumstances beyond our reasonable control.

Handmade Products

Every candle is individually handcrafted.

Slight variations in:

  • color;
  • texture;
  • wax appearance;
  • decorative elements;
  • fragrance intensity;
  • handcrafted details;

are natural characteristics of handmade products.

These variations make every candle unique and are not considered defects.

Order Cancellation

Once production has begun:

  • orders cannot be cancelled;
  • deposits remain non-refundable.

Photography

Unless otherwise agreed in writing, Sofia P. Candle and Art Boutique reserves the right to photograph completed products for:

  • portfolio;
  • website;
  • social media;
  • advertising;
  • promotional materials.

Customers requesting confidentiality should notify us before production begins.
